Start with the decision, answer, or action you are asking for. Then give the context needed to respond. Be specific about the deadline and explain it when useful. This is especially helpful when the reader is busy or unfamiliar with the history. Brevity helps only if the message still contains enough information to act.
Put the request where people can find it
Put the action you need near the beginning, with enough context for the reader to respond.
A small example
“Can you approve the revised artwork by Thursday noon? The printer needs it that afternoon. The only change is the corrected address on page two.” The request and its reason are visible together.
Keep in mind
Sensitive conversations may need a warmer opening or a conversation first. Clarity does not require abruptness.
